Membership Termination & Reimbursement Policy

Refunds Policy at FIT DOJO:

At FIT DOJO, we are committed to providing a positive and rewarding experience for all our members. We understand that circumstances may change, and you may need to cancel your membership with us. We have formulated a refunds policy to address cancellation requests while ensuring a fair and transparent process. Please read our policy carefully:

1. Cancellation Notice Period: In the event that you wish to cancel your membership with FIT DOJO, we kindly request that you provide us with at least two weeks’ notice in advance. This advance notice allows us to manage our classes and resources effectively.

2. Eligibility for Refunds: Refunds for membership cancellations are subject to compliance with the two weeks’ notice period. If you provide us with the required notice, you may be eligible for a refund for the remaining period of your membership.

3. Non-Refundable Period: Membership fees paid for the two weeks following the date of your cancellation notice are non-refundable. This is to cover any classes or services you may have already attended or utilized during this period.

4. Cancellation Process: To initiate the cancellation process and request a refund, please inform us in writing via email or submit a written notice at our dojo’s front desk. Please include your full name, membership details, and the effective date of cancellation in your request.

5. Refund Processing: Once we receive your cancellation request, our team will review it and process any eligible refunds within a reasonable timeframe. Refunds will be issued using the original payment method used during the membership purchase.

6. Pro-Rata Refunds: The amount of refund you are eligible for will be calculated on a pro-rata basis, considering the remaining days of your membership after the two weeks’ notice period.

7. No Cooling-Off Period: Please note that FIT DOJO does not offer a cooling-off period for membership cancellations. The two weeks’ notice period is a requirement for all cancellations.

8. Non-Transferable Refunds: Refunds are non-transferable and can only be issued to the original member who initiated the cancellation.

9. Exceptional Circumstances: In some exceptional circumstances, such as medical conditions or relocation, we may consider adjusting the refund policy. Please contact our customer support team to discuss such cases on an individual basis.

Our refunds policy is designed to ensure fairness and consistency in managing membership cancellations at FIT DOJO. We aim to provide excellent customer service and address any concerns you may have during the cancellation process. We value your feedback and continuously strive to improve our services and policies for the benefit of our martial arts community.

Members’ Attendance and Non-Attended Classes:

Disclosure: Missed Classes & Make-Up Class Policy

At FITDOJO, we understand that life happens — and sometimes, students may miss a class due to illness, travel, or other personal reasons. While we aim to support our members in staying on track with their training, it’s important to clarify how make-up classes are handled:

1. Make-Up Classes Are a Courtesy, Not a Guarantee

Make-up classes may be offered for missed classes; however, they are not a guaranteed entitlement.
FITDOJO reserves the right to approve, decline, or limit make-up classes based on availability, capacity, and internal scheduling.

2. Make-Up Classes Must Be Requested Promptly

If a student misses a class, the parent or member must notify FITDOJO by SMS as soon as possible — ideally before the scheduled class or on the same day.

3. Rebooking Timeframe

To be eligible for a make-up class:

  • The missed class must be rebooked within 7 to 14 days from the date of absence.

  • Requests outside this window will not be eligible and will be considered forfeited.

4. No Accumulation or Compounding

Missed classes and their corresponding make-up opportunities do not carry over to future terms or months.
Make-up classes do not accumulate or compound over time — each missed class must be handled individually and within the outlined timeframe.

5. Non-Refundable & Non-Redeemable

Make-up classes are:

  • Non-refundable — no credit or refund will be issued for missed or forfeited classes.

  • Not redeemable for cash or merchandise.

6. Availability & Scheduling Limitations

Make-up class options are strictly subject to:

  • Instructor availability

  • Class capacity limits

  • Appropriate level/class suitability

We will do our best to find a suitable class; however, availability is not guaranteed.

7. Regular Attendance Benefits:

Regular attendance not only maximizes the benefits of martial arts training but also fosters a sense of camaraderie and discipline among our members.

8. Class Booking and Cancellation:

To assist us in managing class allocations and make-up options efficiently, we request that you inform us of any changes to your attendance plans as early as possible.

We believe that consistency and dedication to your martial arts journey lead to significant growth and achievements. Our make-up class policy is designed to accommodate special cases and provide a supportive environment for our members. We encourage open communication and value your commitment to your training. Together, we create a strong and supportive martial arts community at FIT DOJO.

Disclosure: Bonus Classes Policy

At FITDOJO, we may offer bonus classes as a gesture of goodwill, encouragement, or promotional benefit to students who enroll in term-based programs. These bonus classes are optional, non-refundable, and subject to the following terms:

Bonus Classes Are Not Guaranteed

  • Bonus classes are not guaranteed as part of any enrolment or term booking.

  • The number of bonus classes offered per booking may change without prior notice based on availability, capacity, or internal promotions.

  • Bonus classes are not a paid entitlement and are not eligible for reimbursement or refund under any circumstances.

Time-Limited Redemption

  • Bonus classes must be used within the same booking period — this may be a week, fortnight, or term, as specified by FITDOJO.

  • If not redeemed within the specified timeframe, bonus classes will be automatically forfeited and cannot be carried over, rebooked, or exchanged.

Advance Booking Required

  • All bonus classes must be booked in advance.

  • If a bonus class is not pre-booked, it will not be eligible for redemption, regardless of availability or attendance on the day.

Missed Bonus Classes

  • Bonus classes that are missed, skipped, or unbooked will be considered forfeited and cannot be reallocated or refunded.
